Welcome!

Welcome to Visitation Academy! We are looking forward to having your student join our community. Below are some helpful resources and explanations of what to expect in the coming school year. Please feel free to contact our Admissions Office if you have any additional questions. We look forward to welcoming you to the Viz community and to the 2023-2024 academic year!

  • Allergies and Medical Forms

    All parents must fill out the medical form and an emergency contact form on the Viz Portal for their child(ren) when they enroll.

    Visitation Academy is an allergy-aware campus. Student’s allergy action plans and associated EpiPen should be provided to the school nurse before the start of the school year.
     
    A student’s emergency contact information and medical information can be updated at any time in the Viz Portal, and a reminder to update the profile will be given with each re-enrollment contract. 
     
    The following forms must be submitted to the School Nurse by July 15, 2023:
  • Aftercare and Extended Day

    The Middle School Extended Day program is available every day (except early dismissal days) from 3:30-5:30 p.m. There is no charge for the program, and this resource can be utilized without signing up. 

    The Lower School Aftercare program is available to students in Montessori through Grade 5.  Students are escorted to aftercare at 3:20 p.m. and may remain until as late as 5:00 p.m. Registration and fee are required for the Lower School Aftercare program.

  • Athletics

    You will receive a communication about fall sports opportunities in early summer. Tryouts for Upper School teams begin the first week of August. Families with questions about sports participation, including summer schedules, are encouraged to contact the appropriate athletic office with questions:

    Cheerleading tryout information as well as the summer schedules for cheerleading, volleyball, basketball, golf, and field hockey can be found on the Viz Portal Upper School Resource Board.

  • Billing and Tuition Payments

    Tuition payments should be made through our online processing system Tuition Management. Families have access to their Tuition Management account as soon as their child is enrolled at Viz.
    • To access your Tuition Management account, log in to the Viz Portal, select the Resource Board, then click the Tuition Management tile. 
    • Tuition assistance and remission amounts are applied in Tuition Management later in the school year. 
    • Tuition statements for both tax purposes and FSA reimbursement can be generated through your Tuition Management account.
    • After a family enrolls their child, they will receive a confirmation email from Tuition Management detailing their Payment Plan. If a family elects to make check payments, Tuition Management will send an email reminder to the email on record approximately 20 days before the due date. Please allow 7-10 days to mail the check to Tuition Management. If a family elects to make automatic withdrawal payments or credit card payments, an email reminder is sent approximately 10 days before the due date. No paper invoices are sent.

  • Books and School Supplies

    Lower School: Minimal school supplies and books are needed for students in our Montessori program and Grades 1-3. Lower School teachers will send a short list of required items in August. Grade 4 and Grade 5 students will order school supplies directly from First Day School Supplies. (https://1stdayschoolsupplies.com/)

    Middle School: Middle School students can order school supplies directly from First Day School Supplies or purchase supplies on their own by accessing the grade level lists on this site: (https://1stdayschoolsupplies.com/).

    Middle and Upper School book lists are shared with parents in late spring. Books can be purchased through the online bookstore BNC (formerly MBS) or elsewhere.
  • Campus Safety

    The safety of our students, faculty, and staff is paramount. During school hours, all visitors, including parents, must sign in at the Main Entrance on Ballas Road (Door 4) or the Lower School entrance (Door 9) and must wear a visitor badge at all times. Visitor parking is available on campus in the front parking lot along Ballas Road.

    All faculty, staff, and student vehicles parked on campus must be registered. Student vehicle registration information will be posted to the Viz Portal in May.  All junior and senior parents will need to complete a car registration form. Sophomores will register their car with the Upper School office when they begin driving.
  • Class Schedules

    Student schedules are posted on the Viz Portal in the summer, and students will receive a copy of their schedule at orientation in August.
  • Class Trips and Field Trips

    Middle School Class trips are planned for the 2023-2024 school year as follows:
    • Grade 6-- OTB (Outdoor Team Building) at Trout Lodge
    • Grade 7-- Great Smoky Mountains Institute at Tremont
    • Grade 8-- Washington, D.C.

    Upper School trip:
    • Grade 9- Memphis and Birmingham
     
  • Communication

    Beginning in August, you will receive our weekly newslettter Visitation Academy Weekly News on Sunday at noon. This newsletter is your one-stop shop for all things Visitation news.  You will hear from our Head of School and other voices within the Visitation community. In addition, you will receive your division-specific news and stay informed about campus-wide events.

  • Directories

    An online directory can be accessed through the Viz Portal, and a downloadable PDF of the student-parent directory is available to current parents and students on the Viz Portal Resource Board. An online directory of current faculty and staff is available on our Viz website.

  • Fathers’ Club and Mothers’ Club

    Fathers’ Club
    Membership in this organization is open to fathers and male guardians of all current Visitation Academy students.
     
    The purpose of the Fathers’ Club is to promote the general welfare of Visitation Academy and to cooperate with the school to promote the spiritual, intellectual, cultural, and physical welfare of the students by:
    1. Cooperating with the Visitation Academy Board and Administration by acting as a liaison between home and school.
    2. Fostering a closer union among parents, faculty, and students by promoting sociability and school spirit.
    3. Providing a structure through which various projects to benefit the school, students, Sisters, and faculty may be sponsored or implemented.
    Fathers’ Club activities and projects that help to achieve the above purpose include Steak Night, Trivia Night, the Father-Daughter Dinner & Dance, Field Day and Fall Festival assistance, and the establishment of the Fathers’ Club Emergency Financial Aid Fund.     Mothers’ Club 
    All mothers and female guardians of Visitation students are members of the Mothers’ Club.

    Started in 1972, the Viz Mothers’ Club is a vital part of Visitation Academy. Through a variety of social, spiritual, and fundraising activities, the Mothers’ Club provides a wonderful opportunity for mothers of current students to partner with Viz in the development of their daughters and sons. Above all, the organization helps make Visitation Academy feel like home to its students. Every mom at Viz is a part of the Mothers’ Club.
    The Mothers’ Club Board consists of six officers – President, Vice President, Treasurer, Recording Secretary, Corresponding Secretary, and Historian – as well as an administrative liaison.
    We rely on our moms for their time and talent by volunteering for events throughout the year. It’s a great way to meet other moms, support the school, and give back.

    A SignUpGenius is sent out in the beginning of the school year with the many volunteer needs we have – please consider getting involved! You also will receive a weekly email from your Room Rep detailing class-specific events and calendar updates.

    It takes many hands to successfully plan and execute the annual projects, services, and special events sponsored by the Mothers’ Club. We encourage you to explore the many different ways you can get involved. For more information please email moms@visitationacademy.org.
  • Holidays

    View our Calendar Highlights document to stay up-to-date on current school breaks, professional development days, and special schedules. Log in to the Viz Portal and find the 2023-2024 Calendar Highlights on the Resource Board.
  • Laptops and Technology

    Students in Grades 6-12 must lease a laptop from Visitation Academy. Newly-enrolled families will receive a letter in the mail in the spring with details on their three or four year laptop lease. Laptop invoices are mailed in July with the first payment due on August 1. For more information, please contact Bev Byrd.
  • Lunch

    Food Services Consultants (FSC) is Visitation Academy's dining service provider. More information about FSC will be sent to families during the summer. 
  • Parent Teacher Conferences

    Open communication between parents and teachers is encouraged. Conferences are scheduled two times a year, but parents are encouraged to reach out directly with any concerns.
  • Special Events

    A list of school-sponsored events will be posted on the Viz Portal in the summer for new families to familiarize themselves with the special events scheduled for the 2023-2024 school year.
  • Student Cell Phone Policy

    Upper School: Students are allowed to carry their cell phones, but the phones must be silent and stored in their backpacks or locker during classes. Apple watches also will need to be stored in backpacks or lockers during class time. More information about the student cell phone policy can be found in the Upper School Student Handbook on the Viz Portal under the Upper School Resource Board.

    Middle School: Cellular phones and Apple/smart watches must be turned off and left in the student's locker from 8:00 a.m. to 3:00 p.m. unless permission is given by a faculty member or an administrator.     Lower School: The use of cell phones by students during the school day is prohibited.
  • Student Handbooks

    Student handbooks, by division, are available on the Viz Portal under the Resource Board.
  • Viz Café, Crescent Coffee, and Viz Station

    Crescent Coffee is our student-run, on-campus coffee shop. Students in Visitation’s Ellen Thomasson Malecek Entrepreneurial Leadership Program manage this program. Crescent Coffee is open each Wednesday accepting orders from 8:00-9:00 a.m.

    Viz Station is our on-campus school spirit shop. Viz Station is open Monday - Friday, 10:30 a.m.-3:00 p.m., and a full inventory of items is available for purchase online!
  • Viz Portal

    After enrollment, all new families will be given access to a wide variety of school resources on the Viz Portal. Click here for instructions on how to access your Viz Portal Account.
Visitation Academy is an independent, private Catholic school offering a coeducational Montessori preschool and Kindergarten program, the area's only all-girl elementary program for Grades 1-5, and an all-girl middle school and all-girl high school.
